Cloud security training: Anyone With the Link

Cloud Security training in a 2:44 animated story. It covers Sharing links and permissions; approved tools only. In English and Arabic, with captions you can switch on or off, and a scenario quiz at the end.

What your team will learn

  • Identify the riskiest line on a share list, 'anyone with the link', and say why: no name, no sign-in, and every forward reaches someone new.

  • Share with named people only, with the least access that works (view, not edit) and an end date, and remove anyone who no longer needs access.

  • Report a file shared too widely: turn the link off first, then report it to your security team.

  • State why work files stay in approved tools, never a personal cloud account, and ask partners to do the same.

The story

“Anyone With the Link” is the story at the heart of this course. Hana (project manager) is the lead character; the learner watches the situation unfold, spots the warning signs, and sees the right thing to do. Set in Nakhlora Group, a fictional Gulf company.

Sample quiz question

Hana's share list has five lines. Which one is the riskiest?

  • Kenji Watts, a freelancer who left and can still edit
  • Anyone with the link, who can edit, 187 views so far
  • Daniel Brooks, a colleague who can edit the deck
  • Mona, the colleague who set up the folder access

Correct answer: Anyone with the link, who can edit, 187 views so far

Why: A named person, even one who should go, is one known account. 'Anyone with the link' has no name and no sign-in: whoever gets the link can open and edit, and it already had 187 views.

Anyone With the Link [0:03] Hana: Someone outside Nakhlora? 187 views, from nine places. [0:09] Hana: The new floor plans, and the staff badge list. Names, photos, and every door on the floor. [0:16] Hana: I check this list whenever a project ends. This one can't wait. [0:21] Narrator: Five lines on the share list. Can you spot the riskiest? [0:30] Hana: Anyone with the link, and they can edit. No name, no sign-in. Every forward reaches someone new. [0:38] Hana: First, the link goes off. Then I report it. [0:42] Hana: Public link on our Level 9 floor plans: 187 views, from nine places. I've turned it off. [0:52] Narrator: Shared something publicly by mistake? Turn the link off, then report it to your security team. [1:01] Hana: Mona, it's Hana. That open link on the floor plans: was it for Firas? [1:07] Mona: That's mine. Firas couldn't sign in, and his crew started at eight. So I made a link for anyone. I'm sorry. [1:16] Hana: Thanks for telling me straight. Let's fix his sign-in, not go round it. [1:21] Mona: I'll call Firas now and walk him through signing in. Next time, I call you first. [1:29] Hana: Kenji left four months ago, and he can still edit. No longer needed? Off the list. [1:36] Hana: Daniel only reads the budget deck: view, not edit. And everyone gets an end date. [1:43] Narrator: Share with named people, not anyone with the link. Give the least access that works, and an end date. [1:54] Hana: A copy in his personal cloud. We can't see it, and we can't turn it off. [2:01] Hana: Firas, please delete the MyDrop copy. Plans stay in Nakhlora Files. I'll share them with you and Wael by name. [2:13] Narrator: Keep work files in approved tools, never in a personal cloud, and ask partners to do the same. [2:21] Hana: Five names, view or edit, each with an end date. And no 'anyone'. [2:31] Narrator: Share with named people, only for as long as they need it. Anything shared too widely? Contact your security team.
