Clear desk training: From the Guest’s Chair

Clear Desk Policy training in a 2:26 animated story. It covers Desks, screens, printers, whiteboards. In English and Arabic, with captions you can switch on or off, and a scenario quiz at the end.

What your team will learn

  • Check a desk or room the way a visitor would see it, and identify what to clear: papers, printouts, an open screen, the whiteboard, badges and keys.

  • State the routine before leaving a desk or room: papers away, screen locked, the whiteboard wiped once what's on it is saved.

  • Collect printouts straight away, use secure printing where it exists, and keep confidential papers locked away and in the confidential bin, not the open one.

  • Return anything found left out to its owner or a manager, and tell the security team about anything sensitive whose owner is unknown.

The story

“From the Guest's Chair” is the story at the heart of this course. Mona (office manager) is the lead character; the learner watches the situation unfold, spots the warning signs, and sees the right thing to do. Set in Nakhlora Group, a fictional Gulf company.

Sample quiz question

Clients are on their way up to a meeting room that was used all afternoon. What's the quickest good check before they arrive?

  • Glance round the room from the doorway as you walk in.
  • Check the table only, since that's where they'll sit.
  • Sit where they'll sit and look at what they'll see.
  • Check the booking screen shows the right time.

Correct answer: Sit where they'll sit and look at what they'll see.

Why: Mona sits in the guest's chair because that's the view that matters: what a visitor can read or take from their seat. A glance from the door, or at the table alone, misses things like the board or a laptop screen turned toward the chair.

From the Guest's Chair [0:02] Mona: Oh, no. [0:04] Mona: Helen's pay meeting is still all over the room, and her guests are already on their way up. [0:11] Mona: They'll sit here. So what will they see from this chair? [0:16] Narrator: Sit where the guests will sit. How many things could a visitor read or take from here? [0:27] Mona: Four. The board, the letters in the printer, the open laptop, and a badge by the door. [0:36] Mona: From this chair, a guest could read seven people's pay, and leave with a badge. [0:45] Mona: Helen, it's Mona. Your guests are coming up. Is the pay board saved anywhere? [0:51] Helen: Yes, it's all in my meeting notes. Wipe it, please. I'm coming now. [0:58] Narrator: Leaving a desk or a room? Papers away, screen locked, and the whiteboard wiped, once what's on it is saved. [1:08] Mona: Seven letters, face up. Names and salaries, for anyone who walks in. [1:15] Narrator: Collect your printouts straight away. Where you have secure printing, use it: the page waits until you're at the printer. [1:23] Mona: Laptop locked. Helen's badge goes in my pocket till she's back. [1:28] Narrator: Keep badges, keys and devices out of sight. Lock confidential papers away, and use the confidential bin, not the open one. [1:38] Narrator: Found something left out? Hand it to its owner or your manager. Sensitive, and you don't know whose? Tell your security team. [1:50] Mona: From the guest's chair now: a clean table, a locked screen, and 'Welcome'. [1:56] Mona: Seven letters from the printer, and your badge. The board's wiped. [2:02] Helen: Thank you. I went to help a colleague and thought, it's our own room. That one's on me. [2:09] Helen: Good evening, and welcome. Please, come in and sit down. [2:14] Narrator: Leave every desk and room the way you'd want a stranger to see it: clear, locked, wiped.
